Catalogue & data

Exporting data

Every report downloads as XLSX; shipments produce an OMS-ready CSV; your personal data is exportable.

The Reports page

Reports opens on Sales & Velocity: a fastest-sellers table (top 25 by units sold in your chosen window) with stock and days-remaining per product, plus a type-to-search product drilldown showing units/day, month- and year-to-date sales, and a daily chart. The other tabs — Inventory, COGS, Suppliers, Production, Data Health — follow, and the list tabs have a search box that filters before pagination.

Report exports (XLSX)

Each tab on the Reports page has a download button. All five are available to every role:

ExportContains
Product cost (COGS)Per-product materials + labour + overhead cost for the selected date range
InventoryPer-product available stock, days remaining, reorder point, and stock status
ProductionWork orders and produced units over time
SalesSales totals by product
SuppliersPurchase order counts, on-time delivery, and lead-time performance per supplier

OMS inventory CSV

Two CSVs exist for OMS users: a full inventory export from the Reports → Inventory tab (for bulk-updating stock in your OMS), and a per-shipment CSV on Stage 6 with the shipment's per-size quantities (for recording an inward in your OMS after a release).

Local backups (full-org workbook)

Admins can download a full backup of the organisation from Reports → Backup: one Excel workbook with every catalogue and pipeline table — materials, suppliers, products and variants, BOMs, purchase orders and line items, goods receipts, production orders, work orders, job work, QC lots, shipments, inventory, adjustments, returns, and shortfalls. The first sheet (Backup Info) lists each sheet with its row count so you can confirm the file is complete. Dates are in your organisation's timezone and money columns are plain numbers (currency in the header). Taking one daily or weekly is a good habit; every download is recorded in the audit trail.

The backup is a READABLE ARCHIVE for record-keeping — not a restore file. It cannot be imported back into Honey Shelf; the CSV import templates are a separate, different format.

Large sheets are capped at 5,000 rows and the whole workbook at 30,000 rows (truncated sheets are flagged in Backup Info, newest records kept). For the full data of a single section, use the export button on that screen instead.

Per-section exports

Every catalogue tab (materials, suppliers, products, BOM) and pipeline stage 2-6 has its own Export XLSX button, available to every role that can see the screen. Stage 2 and Stage 3 exports honour your current search and status filter — you export what you are looking at, across all pages, not just the visible one.

Personal data export

Every user can download a copy of their own personal data (profile, memberships, notifications, activity) from Settings → Security. This is the individual right-to-access export — business data lives in the report exports above.
